This Privacy Policy describes how the New Jersey Builders Association ("NJBA," "we," "us," "our") collects, uses, and shares information about you when you use our online booth reservation Service (the "Service") for the Atlantic Builders Convention.

1. Information We Collect

Information You Provide

When you reserve a booth, we collect:

  • Company information: Company name, catalog/marketing name, website, address, classifications, NAHB membership status
  • Contact information: Names, titles, email addresses, phone numbers, and addresses for the main contact, administrative contact, billing contact, on-site contact, and booth contact
  • Booth selection: Booth numbers selected
  • Payment information: When you make a payment, your credit card information (card number, expiration date, security code, billing ZIP) is transmitted directly to our payment processor (Authorize.net) using their Accept.js tokenization service. We do not store or have access to your full credit card number, CVV, or magnetic stripe data. We retain only the transaction ID, authorization code, and the last four digits of the card number for receipt and reconciliation purposes.
  • Agreement information: Name and email of the person who electronically signs the Exhibit Agreement
  • Promo codes: Any promo code you enter
  • Other voluntary information: Source of referral, marketing preferences
Information Collected Automatically
  • Technical information: IP address, browser type and version, operating system, device identifiers, pages visited, dates and times of access
  • Cookies and similar technologies: Session cookies and tokens used to maintain your reservation progress across multiple pages. See Section 7 for details.

2. How We Use Your Information

We use the information we collect to:

  • Process your booth reservation and payment
  • Allocate the booths you have reserved
  • Issue invoices and collect balance payments due
  • Communicate with you about your reservation, the Convention, and related logistics
  • Print exhibitor materials including the show guide and brochure
  • Maintain accurate records for tax, accounting, and audit purposes
  • Comply with legal obligations
  • Prevent fraud and enforce our Terms of Use

3. Information Sharing

We share your information with the following third parties strictly for the purposes described:

3.1 Authorize.net (payment processing)

We share payment-related information with Authorize.net, a service of Visa Inc., to process credit card transactions. Information transmitted includes the transaction amount, billing name and address, your email, the company name, and your encrypted payment data. Authorize.net's use of this information is governed by their privacy policy: https://www.authorize.net/about-us/privacy.html.

Authorize.net is PCI-DSS Level 1 compliant. Card data is transmitted via TLS encryption directly from your browser to Authorize.net using their Accept.js tokenization service.

3.2 Intuit QuickBooks Online (accounting and invoicing)

After your reservation is processed, we automatically create a Customer record and an Invoice for the balance due in Intuit QuickBooks Online ("QuickBooks"), our accounting system. The information shared with QuickBooks includes:

  • Company name
  • Primary contact name
  • Email address
  • Phone number
  • Billing address
  • Booth number(s) reserved
  • Total amount and balance due
  • Convention year

Intuit's collection and use of this information is governed by Intuit's Privacy Statement: https://www.intuit.com/privacy/statement/. QuickBooks is a third-party service we use as a business tool; you are not directly creating a QuickBooks account by reserving a booth, and you are not required to consent to any agreement with Intuit to use our Service.

You may request that your QuickBooks customer and invoice records be deleted by contacting us (see Section 10). Note: tax law may require us to retain certain transaction records for a minimum period regardless of your deletion request.

3.3 Service Providers

We may share information with other service providers that perform services on our behalf, such as web hosting (SiteGround), email delivery, and accounting professionals. These providers are contractually obligated to protect your information and use it only for the purposes we authorize.

3.4 Legal Requirements

We may disclose information if required by law, court order, or governmental request, or to enforce our rights, protect the safety of others, or investigate fraud.

3.5 No Sale of Personal Information

We do not sell your personal information to third parties for advertising or other commercial purposes.

4. Data Retention

We retain your information for as long as necessary to:

  • Provide the Service and maintain your reservation
  • Comply with legal, tax, and accounting obligations (typically 7 years for payment records)
  • Resolve disputes and enforce our agreements

After these periods, we will delete or anonymize your information.

5. Data Security

We implement reasonable technical, administrative, and physical safeguards designed to protect your information, including:

  • TLS encryption for all data transmitted between your browser and our servers
  • Tokenization of payment card data (your full card number never reaches our servers)
  • Access controls limiting administrative access to authorized personnel
  • Regular security updates to our software stack

However, no method of transmission or storage is 100% secure. We cannot guarantee absolute security.

6. Your Rights and Choices

6.1 Access, Correction, and Deletion

You may request:

  • A copy of the personal information we hold about you
  • Correction of inaccurate information
  • Deletion of your personal information (subject to legal retention requirements)

To make a request, contact us using the information in Section 10. We will respond within 30 days.

6.2 Opt-Out of Communications

To opt out of marketing communications, click the unsubscribe link in any marketing email, or contact us directly. Transactional communications (e.g., reservation confirmations, invoice reminders) cannot be opted out of while your reservation is active.

6.3 California Residents (CCPA / CPRA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act:

  • Right to know what personal information we collect, use, disclose, and sell
  • Right to delete personal information we collect from you
  • Right to opt-out of sale or sharing of personal information. We do not sell or share your personal information for cross-context behavioral advertising.
  • Right to non-discrimination for exercising these rights

To exercise these rights, contact us using the information in Section 10. You may also designate an authorized agent.

6.4 European Union / United Kingdom Residents (GDPR / UK GDPR)

If you are located in the EU or UK, our legal bases for processing your information are:

  • Contract performance: Processing necessary to fulfill your booth reservation
  • Legitimate interests: Maintaining records, preventing fraud, marketing to existing exhibitors
  • Legal obligation: Tax and accounting recordkeeping
  • Consent: Where you have opted in to specific processing

You have the right to access, rectify, erase, restrict, or port your information, and to object to certain processing. You may also lodge a complaint with your local data protection authority.

7. Cookies and Tracking

We use the following:

  • Session cookies: Required for the multi-step reservation flow. These are temporary and expire when you close your browser.
  • Plugin session tokens: A 64-character token stored in our database during your reservation, expiring after 2 hours of inactivity.
  • WordPress cookies: Standard cookies used by our website platform.

We do not use third-party advertising or tracking cookies as part of this Service. We do not use Google Analytics or similar analytics services on the booth reservation pages.

You may block cookies in your browser settings; however, doing so may prevent the reservation flow from functioning.

8. Children's Privacy

The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, contact us immediately for deletion.

9. International Data Transfers

We are based in the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States, where data protection laws may differ from those in your jurisdiction. By using the Service, you consent to this transfer.

We may update this Privacy Policy from time to time. Material changes will be posted on this page with an updated "Last Updated" date. Continued use of the Service after changes constitutes acceptance of the updated Policy.
